With all the changes brought about by Covid-19, our venues have been closed for some months. But we’ve been taking many steps in recent weeks to ensure our venues are safe and accessible, and adhere to government guidelines.

We’re pleased to announce that we’re ready to open our venues again, with events starting from the 1st October onwards. We are running venue tours, and walkthroughs now, so feel free to get in touch if you wish to see the venue for a future event.

Good To Go: Visit Britain

We’re also proud to report that we have an additional seal of approval from Visit Britain with their ‘We are Good to Go’ Venue certification.  We are Good to Go from Visit Britain is a scheme offering industry standard approval, to reassure visitors that clear processes are in place and as a business we are ‘good to go’.

It demonstrates that Visit Britain are confident that we have implemented the Government’s Covid-19 reopening guidance and understood Public Health England advice. It means we’ve also carried out a Covid-19 risk assessment and that we’re always alerted to any change in advice so we can change our processes accordingly.

University of London Venues: Safe Events in London

What steps have we taken to ensure our venues are safe for you to visit and enjoy events in?

We’ve worked closely with our health and safety department, staff and partners to ensure we provide comprehensive information where needed around government, PHE and WHO guidance around Covid-19.

We have carried out extensive risk assessments to ensure full compliance, ensuring this has no impact on access and inclusivity.
We continue to provide flexible solutions to any event challenges and provide alternatives where possible within the Covid-19 guidelines.
We always aim to provide a bespoke service through Covid-19 and beyond.
We will keep providing up to date information on changes to legislation and our procedures.

How does event booking work now?

Our events team is available on the phone (+44] 020 7862 8127) and email during normal business hours with a full service as usual.

We have also built in a new process to our initial booking conversation in which we discuss any concerns you have. This way we can ensure you’re 100% happy with the way we will handle your event and we can ensure any additional measures are in place.

We will advise how your event administration can be done at this time, and the remote methods we have in place. We can also give you useful documentation around safety measures that you might need. We can also book a tour or walkthrough of our venues if you want to see the venues in person.

What additional safety measures have we put in place?

We have implemented many safety measures. These include:

Increased surface cleaning.

Sanitising products at stations throughout venues.

Additional sanitising products in well sign-posted rest rooms

Frequent changing of waste disposal

Social distancing measures:

Strict capacity guidelines

Partitions in place in key contact areas

Privacy spaces for guests to use when needed

Easy signposting throughout our venues so you can navigate around with minimal congestion.

Special entry and exit arrangements to avoid congestion too with additional staffing to support this.

Macmillan Hall at Senate House

We have fully briefed staff who are there to support you throughout your event, with a dedicated member of staff for each booking. Our on-site staff are experts and can advise on all safety precautions. We have also made a hotline available during all events if you need any advice.

We’ve set up dedicated isolation areas and have medical staff on hand if needed. There are also showers and changing rooms for cyclists to help visitors access our venue by bike more easily.  We have also conducted thorough testing on ventilation and air con systems so even if you’re inside, you can be confident of the best air and ventilation possible.

Measures around catering:

Working closely with our catering partners we’ve looked carefully at our catering processes to provide the best experience*.

We will ensure that individually packaged meals are prepared in a sanitised environment. We are currently investigating outdoor takeaway food options for our outdoor spaces at events too.

Please note that our catering offer is currently limited because of COVID-19, but we are looking forward to operating our full service again in 2021.

AIM Secure

We have also achieved the AIMSecure accreditation from the MIA (Meetings Industry Association). This means we have been recognised as a venue that delivers "first-class service, excellent facilities and a total commitment to the health and hygiene protocols". We hope this, along with a number of safety and support measures in place, reinforce our dedication to the meetings & events industry.
